CV Pod

Legal

Terms of use

Draft version 0.9 · Last updated 30 Oct 2026 · Applies to cvpod.com and the CV Pod apps

Draft.These terms are a working draft for our prototype and pilot. They need review by a qualified lawyer in Australia, New Zealand and the UK before launch. Items in [brackets] are still to be confirmed.

The short version

  • Candidates use CV Pod free, own their Pod, and can pause or revoke access any time.
  • Employers pay for access, promise every applicant a human decision within their pledge window, and accept that their reply record is public and permanent.
  • Nobody may use Pods to score people with AI, analyse faces or voices, or copy and share them.
  • We don't score, rank or judge anyone, and we never sell placement.
  • Our badges mean exactly what our labels say, and nothing more.

1. Who we are

CV Pod is operated by [CV Pod legal entity name], [company number], registered at [registered address] ("CV Pod", "we", "us"). CV Pod is a verified human hiring layer that sits between job boards and interviews. We are not an employer, recruiter, agency or employment-screening service, and we are not a party to any job offer or employment contract.

2. Words we use

3. Who can use CV Pod

  • You must be 16 or older to make a Pod. If you are under 18, please involve a parent or guardian.
  • Employers and agencies must be genuine businesses that pass our company check (business email and ABN, NZBN or Companies House number). One account per company number.
  • You must give accurate information and not pretend to be anyone else.

4. Accounts and sign-in

CV Pod has no passwords. You sign in with a single-use link sent to your email, valid for 15 minutes. You're responsible for keeping your email account secure, because anyone with access to your inbox can sign in as you. Tell us straight away if you think someone else has used your account.

5. Candidate terms

5.1 Your Pod is yours

You own the content you put in your Pod. You give CV Pod a non-exclusive, worldwide, royalty-free licence to store, transcode, transcribe and display your Pod only to people you grant access to (employers you apply to and people you send links to), and only for as long as that access is active. We don't sell your Pod or use it to train any model.

5.2 Control

You may pause or revoke any link or application access, pause your whole Pod, or close your account at any time. Revoking stops future views. It can't recall anything a viewer already saw, copied or remembered.

5.3 Honesty

  • Your recordings must be you, speaking live in CV Pod's recorder. No one else may record for you.
  • Your CV and proof items must be true to the best of your knowledge.
  • You must answer the "AI helped me write this" toggle truthfully. Disclosing AI help is never held against you.
  • Referee requests must go to real people who can genuinely speak to the claim, not to yourself.

5.4 Free forever

Candidate features are free. We will never charge candidates for visibility, placement or receipts.

6. Employer terms

6.1 Verification and posting

You may open a pod-only job only after your company is verified and you have paid for a post or hold an active plan. Each job stays open for up to 30 days.

6.2 How you may use Pods

When you first open a job you agree, and you agree again by continuing to use CV Pod:

  • to use Pods only to consider applicants for work;
  • not to copy, download, record, screenshot or share Pods outside your hiring decision;
  • not to run Pods, recordings or transcripts through any AI scoring, ranking, or face, voice, accent or emotion analysis;
  • not to contact candidates to ask for money, or to move them off CV Pod to avoid the pledge;
  • not to ask about or decide on protected attributes such as age, gender, ethnicity, religion, health, disability, pregnancy, family plans or marital status, and to comply with anti-discrimination law that applies to you.

6.3 Decisions

Every decision is made by a person in CV Pod: Shortlist, Interview, Decline or Mark as hired. A decline requires one reason from our fixed list and may include a note of up to 500 characters. There is no bulk or automatic decline. Declines are final. Interviews, offers and contracts happen outside CV Pod and are your responsibility.

7. The reply pledge and public record

  • When you open a job you choose a pledge of 7, 10 or 14 days. It can't be changed after the job opens.
  • Each applicant is owed a human decision within their own window, counted in calendar days from the date they applied. Closing a job doesn't cancel what you owe earlier applicants.
  • If no decision is made, a pledge breach is recorded at 00:00 on the day after the due date in your registered country's time. A later decision is recorded as "answered late". The breach stays.
  • Your reply record is public. It shows percentage answered, average days to reply, jobs closed without a hire and pledge breaches. No one, including CV Pod, can edit or delete an entry. Payment never changes it.
  • If any applicant reaches 7 days overdue, you can't open new jobs until every open breach has a decision. Existing jobs stay open.
  • Only decisions clicked in CV Pod count. Phone calls and emails don't.

8. Referees

A referee receives one single-use link, valid for 14 days, and may confirm, edit the wording of, or decline one claim. By confirming you state that, in your honest view, the claim is right. Employers will see your name, the role the candidate named you as, and the date. We keep your email for 30 days after the request ends, then delete it.

9. Agencies

Agencies may buy packs of verified-real-person checks and invite people who have agreed to be emailed. You receive only the outcome and verified name, never ID documents, Pods or receipts. You may not post pod-only jobs for employers, rank or score people, or buy placement. Credits expire 12 months after purchase.

  • Your currency is set by your registered country. GST or VAT is added at checkout.
  • A founding post is free, once per company, while we launch in your country.
  • Plans renew monthly on the start day. Cancelling takes effect at the end of the paid cycle, and open jobs stay open to their closing date. A failed renewal blocks new jobs only.
  • Refunds in full: a paid post closed within 24 hours of opening with no applications; a documented CV Pod platform fault; a duplicate charge; an unused agency pack within 14 days of purchase; or a first plan charge within 24 hours if no job opened under it. Refunds go to your original payment method within 5 business days.
  • No refunds or credits for pledge breaches, jobs closed without a hire, suspensions or part-months.
  • CV Pod charges no hire or placement fee. Payment buys access only, never placement, ranking, extra questions or a different reply record.

Nothing in these terms limits rights you have under consumer law that can't be excluded, including the Australian Consumer Law, the New Zealand Consumer Guarantees Act and Fair Trading Act, and UK consumer protection law.

11. Acceptable use

Nobody may use CV Pod to:

  • impersonate anyone or use another person's ID, or create fake referees;
  • upload unlawful, abusive, sexual or hateful content, or other people's private details;
  • post fake or misleading jobs, or ask candidates for money;
  • scrape, harvest or bulk-download Pods, receipts or records;
  • probe links or tokens, get around rate limits, or interfere with security;
  • discriminate unlawfully against anyone.

12. Moderation and disputes

  • Anyone may report a Pod or an employer. A person on our safety team reviews every report and records a reason for every action. We aim to take first action on a Pod report within 1 business day and resolve it within 3, excluding time waiting for the candidate.
  • We may clear a report, pause a Pod, ask a candidate to re-record or re-verify, return a proof item to self-declared, or suspend an employer. We never delete a Pod as a moderation step. While we pause a Pod, related deadlines are held.
  • A candidate may dispute a decline reason within 14 days. An employer may dispute a breach within 7 days. We check facts only and decide within 5 business days. A decline stays final, and a reply record is never edited. The only correction is a note we add for a documented CV Pod fault.
  • CV Pod staff can't score people, view ID documents, edit reply records or decide on an employer's behalf.

13. Intellectual property

CV Pod's name, logo, software, design and written content belong to us or our licensors. You may not copy or reuse them except to use the service as intended. You keep ownership of everything you upload.

14. Privacy

How we handle personal information, including ID checks, recordings, transcripts and receipts, is explained in our privacy policy, which forms part of these terms.

15. What our labels mean

  • "Verified real person" means our provider matched a photo ID to a live selfie at the time of the check. It is not a background, criminal record, right-to-work, reference, skills or character check, and it doesn't verify who speaks in later recordings.
  • "Verified company" means we checked a business email domain and company number against the public register. It doesn't mean the company's jobs are real or that it treats staff well.
  • "Confirmed by [role]" means the named person clicked a link sent to the email address the candidate gave. We don't verify that person's role or employer.
  • Transcripts are made automatically and may contain mistakes. The recording is what the person said.

You're responsible for your own hiring decisions, including any legally required checks such as right to work.

16. Liability

To the extent the law allows:

  • CV Pod is provided "as is". We don't guarantee that you will be hired, receive applicants, or that the service will be uninterrupted.
  • We aren't liable for decisions made by employers or candidates, or for indirect or consequential loss.
  • For business customers, our total liability in any 12 months is limited to the fees you paid us in that period. For candidates, who pay nothing, it is limited to [AUD/NZD/GBP 100].

None of this limits liability that can't be limited by law, including for fraud, death or personal injury caused by negligence, or non-excludable consumer guarantees.

17. Suspension and closing accounts

You may close your account at any time from Settings. We may suspend or remove accounts that break these terms. A conduct suspension blocks new jobs and questions but keeps earlier applicants' pledges. A fraud removal closes the employer's jobs, and the public record stays as it stood. When an employer is removed, affected candidates are told and their Pod access is revoked.

18. Changes

We'll give at least 30 days' notice by email and in the app of material changes to these terms. Changes never apply backwards to a pledge already made or a payment already taken.

19. Governing law

These terms are governed by the laws of [governing jurisdiction, e.g. Queensland, Australia], and the courts there have non-exclusive jurisdiction. If you are a consumer in New Zealand or the UK, you also keep the protection of the mandatory laws of the country where you live and may bring claims there.
